Job Description

Performs clerical duties for the department, Schedules surgical procedures, enters data into the computer system and answers telephones and records/relays messages. Orders and maintains unit office supplies. Works independently organizing records, maintaining and updating forms and updating the scheduling process. Compiles monthly statistics for Hospital Administration. Interacts with physicians, their offices, visitors, team members and patients. Assists in the maintenance of a clean and safe environment.

Qualifications

Education & Training:

  • High School Diploma or equivalency. College degree preferred.
  • Minimum score of 90% on medical terminology examination required.

Work Orientation & Experience:

  • One (1) to three (3) years clerical experience in a medical setting with computer experience.

Skills & Abilities:

Ability to:

a) use in-depth knowledge of computers, printers and fax

machines

b) utilize good telephone technique and communication skills

c) maintain a positive attitude and work under pressure

d) convey verbal and written information

e) follow directions

f) perform simple mathematical functions correctly

g) respond to emergency situations appropriately and changing needs of the hospital, including all shifts

h) effectively function as a member of a collaborative team

i) independently organize and manage time effectively, setting appropriate priorities; and complies with OSHA standards.

Additional Information

1. Schedules all elective surgical procedures and provides the date and time of the posting within the 72 hours of receipt.


2. Obtains completed surgical scheduling forms and enters the required booking information. If information is incomplete or unclear then contacts the Surgeon and or their Office team members to obtain the necessary information.


3. Attempts to schedule similar types of cases in the same room to increase efficiency. Utilizes the historical “cut to close” and historical “wheels in to wheels out” times when booking cases to accurately depict what is occurring in the OR rooms on the OR schedule.


4. Communicates special equipment, instrument and supply requests to appropriate Service line team leads and the Day Charge Nurse.


5. Refers conflicts and procedural questions to Perioperative Business Director or designee.


6. Escalates incomplete and inaccurate surgical scheduling forms to the Surgeon’s Office Manager. If the errors are not resolved at the office manager level then escalates the problem to the Perioperative Business Director or Designee.


7. Communicates any changes affecting the next day’s surgical schedule to the Charge Nurse and other members of the health team affected by these changes during the huddle call.


8. Prepares the final version of the surgical schedule for the following day and for three days out.


9. Acquires information of surgical procedures scheduled for the current day and utilizes self-initiative to gain knowledge in areas where personal weakness is assessed. Meets daily productivity standards of a minimum of 60 case postings / edits.


10. Initiates phone calls as required. Utilizes customer service skills and professionalism in all communications.


11. Reports problems and resolutions of problems regarding patients, team members, visitors, etc. to team leads and is able to recognize and respond appropriately to emergency situations.


12. Develops and promotes a constructive, positive atmosphere within the work area by demonstrating the ability to maintain cooperation with and assist fellow health team members. Acts as a preceptor for new team members.


13. Serves on committees, task forces, process action teams, public relations activities and/or work groups on a voluntary and appointment basis at the division and/or hospital level.
