The Role
Welcome to our team of administrative support for the Fund and Brokerage Operations & Technology (FBOT) Business. You will provide sophisticated administrative support to several leaders of the FBOT organization. The role requires excellent communications skills and the ability to prioritize tasks as you serve as a focal point of a multifaceted, fast-paced organization collaborating closely with leaders, business partners and team members. As a key member of the leadership teams, you will influence the work of the team by assisting with key meetings, events, programs, and serving as a point of contact for our multi-skilled team. With our large network of executive assistants in FBOT as well as Fidelity Institutional (FI), working collaboratively is required to support each other, while executing on important tasks and projects for our leadership team.
The Expertise and Skills You Bring
Polished executive assistant with professional maturity and attention to detail who can optimally work with all levels of associates, including senior management, some in remote locations
Can exercise acute sensitivity, discretion, and judgment as you will be tasked with assignments that are often confidential and sophisticated in nature
You are flexible, collaborative, and willing to adapt to different work styles, preferences, and frequently changing priorities
Proactive and forward looking, with a keen sense of ownership and involvement
Highly organized, takes initiative, and finds opportunities to enhance our business/team culture
Very strong Microsoft Office software skills (Word, Excel, PowerPoint, and Outlook)
You are willing to learn and advance your skills
Strong problem-solving and communication skills
Professional and friendly demeanor and a minimum of 8 years previous corporate environment experience required
You are an outstanding teammate who develops strong working relationships with colleagues across the company
Bachelor's degree is strongly preferred, but not required
The Value You Deliver
Handle and prioritize executive calendars across Fidelity
Coordinate travel, prioritize expense reports, process invoices, purchase orders, sponsorships, and Goodwill payments
Coordinate, assist with and attend all team meetings for senior leaders involving scheduling and inviting speakers, creating agendas and presentation materials
Manage logistics and numerous details for prospect and client events
Process Quarterly reports, pre-clear/disclose client gifts and business entertainment expenses (Compliance)
Update various distribution lists and organizational charts
Provide support in various administrative projects, assisting executives by taking ownership for complex details and implement independently
Initiate resolution of sophisticated workstream inefficiencies
Maintain confidentiality and possess a detailed knowledge of the Executive’s span of control and company policies and work-streams
The Team
This role is a vital part of the FI/FBOT Admin Team Model and the company’s success. Individuals serving on the administrative team are recognized and valued by their colleagues as key members of their group, department, or business unit in helping the Senior Leaders and their Team run efficiently every single day by providing primary coverage and having adequate backup support from members across the FI/FBOT Admin Team.
