POSITION OVERVIEW


The Celebrations and Small Groups Coordinator will be responsible for assisting in the coordination and execution of all small groups and premium suite guest stays to ensure they have a unique and engaging experience at the Fontainebleau Las Vegas.

ESSENTIAL DUTIES AND RESPONSIBILITIES


The following and other duties may be assigned as necessary:

  • Proactively assist Managers with Customer Service initiatives, such as repeat premium suite and small group guests
  • Build out and input new group data using Delphi and property management system(s)
  • Process group turnovers and build out group web/passkey links
  • Input hotel reservations and rooming lists for group bookings and premium suite reservations with assistance from the Group Reservations team
  • Assist in billing, such as creating invoices, collecting deposits, final payments, and sending receipts with assistance from the Accounting team
  • Arrange arrival transportation and ETAs for all Premium Suite guests
  • Coordinate guest/group’s entire hotel experience with other departments, inclusive but not limited to Restaurant Group Sales, Concierge, etc.
  • Order and organize welcome amenities
  • Assist managers with site tours
  • Create thank you letters after guest checkouts
  • Work closely with Resort Services/Call Center to provide a seamless booking process for all guests
  • Other general department duties, such as filing, pulling reports, ordering supplies, etc.
  • Maintain a professional appearance as outlined in Company policies
  • Develop and maintain effective and respectful relationships with all fellow Members
  • Maintain the highest level of professionalism at all times
  • Temporary or permanent duties and responsibilities may be added to or modified as deemed necessary.

QUALIFICATION REQUIREMENTS

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.   • High School Diploma required
  • Minimum of two (2) years of luxury, guest service hotel experience in Hotel Sales, F&B, or Hotel Operations
  • Proficiency in software including Outlook, MS Word, Excel, and PowerPoint as well as office equipment (i.e., telephone, copier, projector)
  • Prior experience using HMS/Infro, Cendyn/Pegasus, Delphi, and or Tripleseat preferred
  • Ability to communicate effectively in both written and verbal forms
  • Able to work in a fast-paced environment
  • Can multi-task while in a high-pressure situation
  • Thrives in a team-oriented environment
  • Excellent interpersonal skills to deal effectively with guests, management, employees, and other outside contacts
  • Consistently maintain a professional, neat, and well-groomed appearance adhering to company standards
  • Excellent organizational skills; be able to function under time constraints and deadlines with attention to detail
  • Must be willing and able to work a flexible schedule to include nights and weekends
  • Work in a fast-paced, busy, and somewhat stressful environment

Member must be able to qualify for licenses and permits required by federal, state, and local regulations.

LANGUAGE SKILLS

Ability to read and interpret documents in English, such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to read and communicate verbally in English. Written communication skills in English may also be required.
