Your Opportunity

We are currently looking to add a Project Coordinator to support our Energy group, San Diego, CA office location.

The successful candidate will be a proactive, self-starter with exceptional written and verbal communication skills. Organization, time management, attention to detail and accuracy is critical to this position. This position will work within a matrix management environment, candidate must be able to take work from multiple sources, self-direct and prioritize accordingly, and communicate workload to direct manager.

Your Key Responsibilities

  • Assist Project Managers with project set-ups, coordinating schedule and budget development and issuance to Project Accountants and Project Controls staff for internal set-up requirements.
  • Assist Project Manager, as requested, with the set-up of templates for PM Framework documents such as Project Execution Plans, Change Order Logs, Risk Registers, Health and Safety Plans, etc. and assist with following up with responsible team members to drive these to completion.
  • Assist Project Managers with monitoring project progress, developing tracking data, PM reports and other materials as needed.
  • Run and review reports from financial and accounting data software (Oracle). Export data to excel to prepare various internal/external reports and analyze for issues or variances (familiarity with or the ability to learn Pivot tables is a must here).
  • Responsible for adhering to electronic filing (on servers) of project documentation consistent with Stantec document management policy/protocol (Global Data Management) and the project’s contract (confidentiality, etc.)
  • Review project contracts to pull pertinent project information for invoicing , insurance requirements and confidentiality, assist PM’s in ensuring all necessary documentation is saved to the project files and kept up to date.
  • Assist Project Managers and Technical Leads with the subcontracting and subcontractor pre-qualification processes, making sure that all necessary documentation is signed, correct and in the project files.
  • Provide subcontract management tracking support to Project Manager by creating and maintaining subcontract logs, assisting with change orders, and reviewing/coding invoices.
  • Assist the Project Manager with the preparation of monthly progress reports for clients.
  • Work in conjunction with the Project Accountant and Project Manager to complete the process for job set-up, budget maintenance, change order processing, invoicing and accounts receivable collections, payables per accounting and Stantec PM Framework requirements.
  • Handle multiple tasks and projects concurrently, maintain accountability to understand and meet project deadlines (without having to be prompted or reminded), especially for recurring activities such as invoicing and monthly report preparation in support of Project Managers.
  • Work with distributed teams in multiple locations in United States and Canada using company tools for teleconferencing, and videoconferencing. Will be expected to organize conference calls with project team members, track action items and notes, and facilitate resolution and follow up actions as needed within the project team.
  • Prepare/coordinate project meetings and travel arrangements, as requested.
  • Other project related support duties as assigned.
  • In all cases the candidate will be required to follow safe work practices and adhere to company guidelines and policies for planning and executing work in a safe manner.

  • Must possess intermediate to advanced skills in Microsoft Excel including understanding of pivot tables, data analysis functions, and use of formulas.
  • Basic understanding of scheduling principles and software, or desire to learn.
  • Possess intermediate skills in Microsoft Word (all word processing functions: formatting, styles, etc.).
  • Present a superior level of professionalism and discretion in all interactions, both internally and externally to the organization.
  • Prefer intermediate skills in SharePoint (managing a site, utilizing the site to its fullest capabilities).

Education and Experience

2 to 3 years of experience in project support, preferably in engineering, design, or construction industry.

Bachelor’s degree in business or other applicable field preferred but not required. High school diploma required.

Prior experience with or understanding of project earned value management practices, including analysis of cost and schedule variances, development of bottoms-up estimates to complete, and analysis of estimates of completion to ensure successful management during all project stages.

Pay transparency laws require employers to provide the following information for positions that may be in the following jurisdiction(s):

Salary Range(s):

  • $28.17 Per Hour - $39.47 Per Hour (CA, CO locations only)

The final agreed upon compensation is based on individual education, qualifications, experience, and work location. At Stantec certain roles are bonus eligible.
