AWD Office Manager

General Description: As the Office manager, you will be responsible for all aspects of the administrative, accounting, human resources, accounting, fleet, and safety duties of the AWD office. Some of the functions will be delegated to subordinate positions as the AWD operation grows in volume and personnel but will remain the ultimate responsibility of the OM.

Administrative Duties:

1. Uniforms, office supplies, documents and marketing material procurement and inventory.

2. CRM (including various spreadsheets) population, updates, and management.

3. Create customers, sub-customers, vendors, and sub-contractors in QuickBooks Online (QBO.

4. Creating estimates and invoicing in QBO per office policy and procedures.

5. Receptionist and dispatching: Take incoming referral calls, log information and dispatch crews according to office policies and procedures.

6. Serve as primary coordinator for operational departments (Water Mitigation, ReBuild, Contents, etc.), including, but not limited to, dispatching, customer communications and updates, clock-in/clock-out management, cost code creation inside of timecard management software, scheduling, material procurement, job costing (labor and materials per job) and job file progress updates.

7. Manage resource partnerships – Shipping, online shopping, phones, utilities, trash disposal, insurance, fuel accounts, fleet, GPS, online review sources, website updates, etc.

8. General housekeeping duties.

9. Assist DM with other projects as necessary.

10. Create and manage after-hours

Accounting Duties:

1. Payroll processing (bi-weekly) including COG allocation.

2. AP - entering and paying all bills in a timely manner.

3. Billing – ensuring invoices are sent to the responsible party upon completion and per office policy and procedures.

4. AR – maintaining constant contact, update, and collection of all outstanding receivables.

5. Accruals and pre-paid entries.

6. Daily bookkeeping tasks, including month-end and year-end close.

7. COA accuracy

8. Banking – deposits and monthly reconciliations.

9. Credit Card (including COMDATA) management – deposits, transactions, and reconciliation.

10. Serve as primary liaison between local DM and Corporate Controller.

Human Resource Duties:

1. EE on-boarding requirements, documentation, and personnel file management, including upon EE termination.

2. PTO management for all staff

3. Serve as primary liaison between office and PEO

Fleet and Safety:

1. Add delete vehicles with insurance and internal tracking system.

2. Add delete fuel cards and drivers with vendors and internal tracking system.

3. Manage GPS system including new-vehicle activation.

4. License/registration management.

5. Schedule monthly vehicle inspections and documentation.

6. Ensure vehicles are maintained according to the manufacturer's and office guidelines.

7. Manage disposal of vehicles when necessary.

8. Schedule upfitting of newly acquired vehicles.

9. Schedule regular safety meetings in concert with trainers (internal and external)

General:

1. Immediately inform division manager of escalated issues.

2. Promote team, brand and cooperative work environment and culture.

3. Return all voice messages and emails on the same day as they were received.

4. Attend regular meetings with management to review backlog, work-in-progress, revenue projections, job-costing, accounts receivable, administrative issues and other relevant topics.

5. Participate and contribute to the growth and success of AWD.

6. Hire and train subordinate positions as necessary. Promote when appropriate and terminate when necessary.

Immediate Supervisor: Local Division Manager

Work Schedule: This is a 24/7 operation, and the Office Manager is expected to be available as necessary, however the primary work schedule is M-F; 8:30 a.m. – 5:00 p.m.

Job Type: Full-time

Pay: From $55,000.00 per year

  • Microsoft Office: 1 year (Preferred)
