City on a Hill is one of Massachusetts’ first charter schools with the upcoming 2023-2024 school year being our 29th year of operation. As we prepare for another school year, City on a Hill is seeking dedicated educators and operations staff to support the empowerment of our students.
About the Front Office Coordinator
As a member of the City on a Hill Charter Public School Operations Team, the Office Coordinator will act as “air traffic controller” for the Front Office (Front Desk, Principal’s Office, and Vice Principals’ Office) and provide operational support to teachers and administrators. The role directly reports to the Director of School Operations.
Role Description
Front Office Management
- Greet and check-in all City on a Hill visitors in the Front Office in accordance with our community safety policies;
- Ensure that the Front Office is a professional, clean and welcoming environment;
- Act as primary point of contact for all calls and emails to the School, directing calls to appropriate stakeholders;
- In collaboration with other Operations Team members, distribute all school-related communications, including mailings, electronic communications, and phone calls to students, families, and staff;
- Manage inventory of all front office materials and order additional supplies;
- Other duties as assigned by the Principal, Vice Principal, and/or Director of School Operations.
Administrative Support
- Provide responsive scheduling support to the Principal, Vice Principal, and Director of School Operations;
- Assist in general project management centered in the Operations Department;
- Under the direction of the Director of School Operations, collaborate with operations staff to improve operational tools, systems, processes, protocols, procedures, and documentation
Student Data Management
- Serve as school attendance coordinator, including collaborating with teachers to ensure attendance is taken and following-up with families in accordance with School attendance policies daily;
- Collaborate with Director of School Operations and Student Recruitment Coordinator to ensure smooth enrollment of students following their acceptance to City on a Hill; and
- Ensure timely input of data into appropriate student information systems, as directed by the Director of School Operations and/or Data Manager.

Job Requirements
- Required Qualifications
- A belief that all students can and must learn at high levels and a commitment your own continued learning, particularly as it relates to City on a Hill’s journey to operating as an anti-racist school;
- 1-3 years of office management experience, preferably in a K-12/non-profit environment, in which you demonstrated strong ownership and communication;
- Ability to take initiative, prioritize tasks, and work independently and on a team; and
- Ability to speak Spanish
PREFERRED QUALIFICATIONS:
- 1-3 years of school principal or executive support experience;
- Ability to speak Haitian Creole, Cape Verdean Creole, and/or Portuguese;
- Previous experience as a classroom teacher or demonstrated understanding of teachers’ needs; and
- Experience using PowerSchool, or other student information systems
