Job Description:

This position is responsible for providing a clerical support and assistance receptionist duties, data entry, SmartCare reports, copying and collating materials, typing, mailing correspondence, maintaining office equipment, filing clinical records, insurance verification, medical records request, and collecting payments. This position may input information into MD Cares, knowledge of Pharmacy Assistance Program, schedule appointments for individuals in the clinic, update consents and demographic information in the electronic chart, and scan documents and other information into the individual’s electronic chart. Adheres to the provider’s schedule to assist individuals with initial and follow up appointments in the clinic and discharges from the EOU program.

Job Duties:

  • Provides receptionist duties: directing individuals coming into the center, answering the center telephone, forwarding telephone calls, taking messages for center staff as needed.
  • Perform or assist with data entry as assigned for both the Provider, assuring all data is entered within expected time frames.
  • Participates in required training relevant to the position.
  • Communicates effectively, verbally and in writing, including sharing information, sharing ideas with and giving positive feedback to supervisor, team members, other peers and others outside the work group.
  • Run SmartCare reports for program managers and directors upon request.
  • Files consumer clinical records accurately, produces Word documents and other clerical functions as assigned.
  • Assist other clerical staff as needed to maintain a neat, supplied and organized chart and mail room and making necessary calls to keep office equipment in good repair.
  • Other duties as assigned which may include: copying materials, collating and providing mail delivery functions, assistant staff development/training records maintains accuracy of primary telephone menu, maintains back files.
  • Contributes to a positive collaborative work environment.
  • Reports to work in a dependable manner.
  • Office Manager will assign tasks or activities to improve front desk tasks.
  • At the discretion of the Office Manager and Center Director, and under the conditions of the telecommuting agreement, this position may be allowed to complete work from home for the following duties: Telephonic Financial Assessments, sending and scanning electronic documents for client records, Return to Clinic and Reminder Calls, and company approved trainings.
