JOB SUMMARY: The role is responsible for the day-to-day document control and overall records management of project deliverables that are critical to the development and operation of large multi-faceted themed attractions. This includes the complete collection of contractually obligated deliverables in accordance with established policies and procedures, completing service requests and supporting the portfolio’s strategic initiatives.

MAJOR RESPONSIBILITIES:

  • Portfolio Manager Support: Assist RICP Portfolio Manager with implementation of deliverable collection efforts with project teams. Support deliverable collection across global portfolios during emergency surges in demand. Train internal Team Members as well as external Vendors on RICP standard operating procedures and their related systems and workflows.
  • Subject Matter Expertise: Apply business acumen and problem-solving skills that assist in the development of insightful solutions. Perform support functions as the RICP subject matter expert for all tools, technologies, and procedures. Support the creation, management, and updating of RICP standard operating procedures as well as other organizational documents. Ensure adherence to records related policies and procedures. Maintain professionalism and cultivate collaborative working relationships.
  • Deliverable Collection: Interpret deliverable expectations from contractual documents. Translate relevant details from the Scope of Work into the Deliverables Tracker, including vendor information, deliverable expectations, and phase schedule dates. Monitor contractual Change Orders and update Deliverables Tracker when phase due dates and/or deliverable expectations are modified. Based on deliverable expectations, create Submittal Items within internal SharePoint archival site and ensure synched with PMWeb Submittal Sets. Load deliverables into internal SharePoint archival site and route approval workflows via PMWeb.
  • Service Requests: Complete service requests from project teams, external vendors and other Universal partners including but not limited to administrative tasks related to Bluebeam design review sessions, watermarking, encryption, file transfer, and archive retrieval. Elevate issues to Portfolio Manager for resolution, as appropriate.
  • Hypercare: Provide hypercare when troubleshooting user and/or system challenges. Escalate issues to Portfolio Manager for resolution, as appropriate. Suggest improvements to procedures, systems, and/or workflows that increase RICP’s abilities to achieve its mission and vision.
  • Time Management: Ensure effective time management and prioritization of daily tasks based on deliverable collection efforts, service request deadlines, and other initiatives in support of the overall portfolio management. Take ownership and assure attention to detail when completing tasks. Delegate tasks to Coordinators and ensure quality completion.
  • Understand and actively participate in Environmental, Health & Safety responsibilities by following established UO policy, procedures, training and team member involvement activities.
  • Performs other duties as assigned.

ADDITIONAL INFORMATION: Knowledge of system administration on Creative’s current technology solutions like PMWeb, Dropbox, Smartsheet, Bluebeam Studio, Egnyte, M365 SharePoint Online, Power Automate workflows is heavily preferred.

EDUCATION: High school degree or GED required.

EXPERIENCE: 3+ years of relevant experience in a records management position is required. 2+ years of experience supporting architectural, engineering and/or construction teams with records management services is preferred.
