International Aerospace Coatings (IAC) is the world’s leading aviation specialist painting company. Summary

The Site Administrator is key to the efficient operation of an IAC site. Not only supporting the day-to-day site administrative needs, he/she supports the human resources department. He/she is the point of contact for each site including receiving and directing visitors and clients, potential site tours, facility postings, and other duties as assigned. The site administrator will carry out responsibilities in some or all the following functional areas: training, benefits, and employment. He/she will have responsibilities for recruitment and staffing logistics, such as phone screening applicants and assisting with new hire onboarding.

Essential Duties and Responsibilities:

  • Answer, screen and transfer inbound phone calls.
  • Recruitment, partners with hiring managers to set-up interviews and complete offer letters (posts job ads and prescreen candidates).
  • Conducts background checks, pre-employment drug test, E-Verify processing and badging for facility.
  • Administers new hire paperwork.
  • Conducts new hire orientation.
  • General clerical duties including photocopying, faxes, scans, incoming and outgoing mail, shipping, FedEx.
  • Works with vendors to order office supplies, coffee, etc.
  • Creates employee files and maintains proper filing of employee documents.
  • Retrieve documents from filing system.
  • Handle employee requests for information and data.
  • Prepares and modifies documents including correspondence, reports, drafts, memos, emails.
  • Liaison between facility and corporate HR.
  • Schedules random DOT testing at facility.
  • Knowledge of Paycom.
  • Coordinates travel plans and other arrangements as needed.

Position Requirements:

  • Strong oral and written communication skills.
  • General knowledge of various employment laws and practices.
  • Experience in administration of benefits and other HR programs.
  • Excellent interpersonal and organizational skills.
  • Skills in database management and record keeping.
  • Exhibit a high level of confidentiality.
  • Ability to be flexibility in a changing environment.
  • Identify and resolve problems in a timely manner.
  • Gather and analyze information skillfully.

Job Type: Full-time
