JOB DESCRIPTION AND POSITION REQUIREMENTS:

The Department of Applied Linguistics in the College of the Liberal Arts is seeking a positive, innovative, and detail-oriented Graduate Program Assistant (Administrative Support Assistant 3) who will be the primary point of contact for all graduate program matters. The Graduate Program Assistant will manage admissions, graduation certification, and other functions of the program, as well as provide faculty support in a busy, team-oriented office environment.

Duties of the Graduate Program Assistant include, but are not limited to:

  • Work collaboratively with graduate advisors, the graduate officer, and the department head to assess and serve the needs of graduate students

  • Coordinate the graduate admissions process through graduation for Ph.D. and MA students, including appointments (hiring) of Graduate Teaching or Research Assistants

  • Answer inquiries regarding both degree programs and admissions processes

  • Establish and maintain spreadsheets and databases to monitor progress of graduate students and track conference travel, as well as record acceptances of applicants

  • Review and confirm graduation requirements for students each semester

  • Manage and provide administrative support to the International Teaching Assistant Program Director

  • Coordinate course curriculum and scheduling (i.e., record all course and instructor information, finalize final exam schedules, collect course syllabi, serve as the department’s liaison to the Faculty Senate)

The Graduate Program Assistant will frequently use the following software, systems, and applications: Microsoft Office Suite (including Outlook, Word, and Excel), CollegeNet-25Live (scheduling platform), LionPATH (Penn State’s student information system), Penn State’s WorkLion (central resource for HR services and used to enter Graduate appointments in this position), and iTWO (used for data access, analysis, and distribution).

Education and Experience: This position typically requires a High School diploma or higher and two years of related experience, or an equivalent combination of education and experience. Applicants must also have experience with Microsoft Office Suite (including Word and Excel).
