Position Summary
Under general supervision, the
Administrative Assistant provides telephone support to external Clients who contact CertiPay concerning payroll practices, human resources, CertiPay software operations, and other technical and non-technical issues. The employee will also perform other duties in accordance with local, state and federal guidelines and deadlines whilst also accommodating client requirements while providing excellent customer service.
Essential Duties and Responsibilities
Include the following. Other duties may be assigned to meet business needs:
- Greet all incoming guests
- Answer overflow calls for client solutions
- Provide data entry support as needed
- Manage and redirect client mail
- Verify and update client bank change information, billing and payroll funding
- Update client and user information with internal client database
- Schedule job applicant interviews
- Receive and process all incoming sales kits and keep Implementation board updated
- Implementing new clients
- Setup new controls in internal databases
- receive and process garnishment returns
- Provide administrative support to management team
- Benefits/ACA data entry
- Break room inventory control
- Stock Room Inventory management
- Create voice mail requests in ZenDesk
- Schedule Leadership trainings
- Client terminations (update Central and Portal, deactivate users, etc.)
- User changes – updated in Central and Portal
- Follow all organization's policies, practices, and procedures
- Participate in proactive team efforts to achieve departmental and company goals
- Regular attendance is a requirement of this position
- Perform other duties as assigned
Knowledge, Skills, and Abilities
- Receive guidance with respect to general objectives; in most tasks and projects assigned, determine methods, work sequence, scheduling, and how to achieve objectives of assignments; operate within specific policy guidelines.
- Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence.
- Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
- Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
- Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
- Intermediate personal computer skills, including electronic mail, routine database activity, word processing, spreadsheet, graphics, etc.
- Prioritize tasks, handle multiple tasks simultaneously, and handle multiple projects simultaneously.
Education & Experience
- High school diploma or general education degree (GED)
- 1 year+ related experience and/or training; or equivalent combination of education and experience.
